1. Definitions

“We/Us/Our” means Midlands Roof Box Hire.“You/Your/Hirer” means the person or business entering into the hire contract.“Equipment” means all items supplied for hire, including roof boxes, roof bars, mounting kits/feet, keys/locks, fittings, tools and accessories.“Hire Period” means the dates on your booking confirmation.“Security Deposit” means a refundable amount held against loss or damage (see §10).

2. Contract formation

A binding contract is formed when we issue written booking confirmation (email or message) after receiving (a) your completed booking details and (b) full payment and any Security Deposit. We may refuse a booking if the vehicle or intended use is unsafe or unsuitable.

3. Eligibility & identification

Hirer must be at least MINIMUM AGE, e.g., 21 and hold a valid UK driving licence.


Proof of ID and address may be required (e.g., photo ID + utility bill/bank statement dated within 3 months).


We reserve the right to cancel the hire if eligibility checks fail; see §11 for refunds.


4. Vehicle suitability & safety

It is your responsibility to ensure your vehicle is suitable for the Equipment (e.g., has factory rails, fix-points, or compatible door apertures).

The maximum load is the lowest of: (i) vehicle roof limit in the manufacturer’s handbook, (ii) roof bar limit, or (iii) roof box limit. Never exceed this figure.

You must consider increased vehicle height and avoid height-restricted areas (car parks, barriers, drive-throughs, ferries).

We may refuse fitting or cancel the hire if we believe use would be unsafe.


5. Fitting, handover & checks

Unless otherwise agreed, we will fit and remove the Equipment at the start/end of the Hire Period or at a scheduled appointment.

We will provide a brief demonstration and a Handover Checklist noting: (a) fitted items, (b) apparent condition, (c) key numbers, (d) measured overall height.

If you are fitting the Equipment yourself, you must follow the manufacturer’s instructions and torque specifications. You accept responsibility for correct fitment and periodic re-checks (§6).

You must tell your motor insurer that a temporary roof box/bar will be fitted (some policies require notification). We do not insure your vehicle or contents (§12).


6. Use of equipment (your responsibilities)

Drive smoothly; allow for crosswinds; increase stopping distances.

Speed: Follow the lower of the legal limit or the manufacturer’s recommended maximum for roof boxes/bars.

Periodic checks: After the first 20–30 minutes of driving and at regular intervals thereafter, stop in a safe place and check all clamps, straps and locks are secure.

Keep the Equipment locked when unattended; remove keys from locks.

Distribute weight evenly; secure contents to prevent movement. Do not carry loose liquids, animals, illegal or hazardous materials.

Do not use off-road or in extreme conditions beyond normal road use.

Do not modify the Equipment or remove serial/ID labels.


7. Hire period, collection & return

The Hire Period is as shown on your booking confirmation.

Collection/Return at [LOCATION / POSTCODE] or via [Delivery & Collection Service terms and fee if offered].

Late returns may be charged at £5 per day or the daily hire rate and may forfeit any grace period; see §10.


8. Charges & payment

You agree to pay: (a) hire charges; (b) fitting/delivery/collection fees (if applicable); (c) Security Deposit; (d) any charges for late return, cleaning, loss or damage (§10).

Payment is due on booking unless otherwise agreed in writing.

Prices include VAT where applicable. We will provide a VAT invoice if registered.


9. Care, loss & damage

You are responsible for the Equipment from handover until return/inspection.

Take reasonable care to avoid damage, including scratches from overloading or contact with garage doors, barriers, branches, etc.

Keys: Lost keys will incur a £30 replacement charge (per key/lock set), plus any related call-out costs.

Water ingress: Roof boxes are weather-resistant but not guaranteed watertight. Pack accordingly.


10. Security deposit, inspection & deductions

On return, we will inspect the Equipment. We may deduct reasonable sums for:

Damage beyond fair wear and tear (cracks, gouges, broken locks/hinges, bent bars/feet).

Missing items (keys, clamps, fittings, adapters, instructions).

Cleaning where items are returned heavily soiled £30 CLEANING FEE.


Late return charges (§7).

Where damage prevents immediate rehire, we may charge the lower of: (i) our repair cost or replacement at current market price (less fair wear), or (ii) the manufacturer’s fixed component price list where applicable. We will provide evidence on request.


11. Cancellations & refunds (consumer bookings)

More than 7 days before the start date: full refund less a £10 ADMIN FEE.

3–7 days before: 50% of hire fees refunded.

Less than 72 hours: hire fees non-refundable.

If we can rehire the Equipment for the same period, we will refund you the lesser of the above charges or the loss actually incurred.

Distance bookings: If you book online/phone, the Consumer Contracts Regulations 2013 may provide a 14‑day cooling‑off period. However, where the hire is due to begin within 14 days and you request performance to start, you agree that the service is supplied immediately and the usual right to cancel without charge does not apply.


12. Insurance, accidents & incidents

We provide the Equipment for hire only; we do not insure your vehicle or the contents of the roof box.

You should ensure your vehicle insurance covers use of a roof box/roof bars.

In the event of an accident, theft or incident: (a) ensure safety, (b) notify the police where required, (c) inform your insurer, and (d) notify us as soon as reasonably practicable.

Do not continue to use damaged Equipment. Contact us for guidance.


13. Liability

We are responsible for loss or damage you suffer that is a foreseeable result of our breach of these Terms or our negligence.

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or other liabilities that cannot legally be limited.

We are not responsible for: (a) wear to your vehicle’s paint/rub strips from normal, correct use; (b) indirect or consequential losses; (c) loss or damage to contents carried in the roof box; (d) losses caused by your failure to follow instructions, exceed load limits, or secure items properly.

Our total liability for any other losses is limited to the hire charges paid for the affected Hire Period.


14. Your right to use & our right to repossess

You have a right to quiet possession and use of the Equipment during the Hire Period in accordance with these Terms.

We may end the hire and recover the Equipment if you materially breach these Terms or if we reasonably believe the Equipment is at risk.


15. Force majeure

We are not liable for delays or failure to perform due to events beyond our reasonable control (e.g., severe weather, accidents, supply issues). If performance is affected, we will offer a refund or revised dates where possible.

16. Data protection (UK GDPR)

We process your personal data to administer bookings, security deposits, safety/recall notifications, and legal/accounting obligations.

Lawful bases include contract performance and legitimate interests.

We retain essential records for up to [5 years] and share data only with necessary processors (e.g., payment providers).

You have rights of access, rectification, erasure, restriction and complaint to the ICO.

17. Complaints

Please contact us first at reece@midlandsroofboxhire.co.uk. If we cannot resolve your complaint, you may seek alternative dispute resolution. Nothing affects your statutory rights.

18. Governing law & jurisdiction

These Terms are governed by the laws of England & Wales and the courts of England & Wales shall have exclusive jurisdiction.

19. Changes to these Terms

We may update these Terms from time to time. The version applicable to your booking is the version in force on the date we confirm your booking.
